Your privacy is important to us. This Privacy Policy explains how Azentra Inc., trading as Short Notice Staffing ("Us", "We" or "Our"), collects, shares, uses and protects your personal and non-personal information when you visit or use our website or services.
This Privacy Policy only applies to data which we and our affiliates collect through this website, and does not apply to data collected by any third party, including without limitation the data collection practices of any third-party websites to which our website links, or to any information collected by us offline.
This Privacy Policy should be read in conjunction with our Terms of Use and any other agreement you make with us.
What Personal Information Do We Collect?
We only collect personal information that you provide when completing a form on our website, including our staffing request form and pricing calculator.
Clients and Potential Clients: When you use our services, we collect data including but not limited to your first and last name, company name, address, phone number, email address, and details of your staffing request, such as event dates, location, staffing hours, and duties required. Where you choose to proceed with a flat rate order, we collect the information necessary to provide you with payment instructions.
Personnel: Where independent contractors are sourced in connection with your order, personnel details are collected and managed consistent with our standard staffing coordination practices.
In addition to the personal information described above, we may collect certain information about your use of our website. We capture the IP address of the device you use to connect to our website, the type of operating system and browser you use, and if you use a mobile device, the type of device you use, along with information about the site you came from. We also capture data on your use of our website, including the parts of our website you access and the time you spend on each part of our website.
We reserve the right to match your IP address, or any other information, with other information about you in any way permitted by applicable law.
Our services are not directed to people under the age of sixteen (16), and we do not knowingly collect personal information from them.
How Do We Hold Your Information?
Your personal information may be held by us in paper records, on computer systems including email, servers, hard drives and applications, and on third party cloud-based services or other data storage systems.
What Do We Use Your Personal Information For?
We use your personal information solely to provide our services and features to you, including without limitation:
- To prepare and fulfill your staffing order — including calculating pricing, providing payment instructions, and assigning an Account Manager to coordinate your order;
- To contact you — we may be required to contact you in the course of the provision of our services, and will use your personal information to do so;
- To evaluate and improve our business and services — we may monitor and analyze information to develop new products and services, improve existing services, and refine our website;
- To prevent potentially illegal activities — we may be required to disclose your information if disclosure is reasonably necessary to comply with legal process and law enforcement instructions, to prevent or investigate possible wrongdoing, or to protect our rights, reputation, property, safety, or that of the public; and
- To perform administrative tasks — including but not limited to accounting, record keeping, and archiving.
How Do We Use Non-Personal Information?
In addition to the other uses and disclosures of personal information set out in this Privacy Policy, we may use and disclose, for any purpose, any information that does not identify you ("Non-Personal Information"), except where prohibited under applicable law. Such Non-Personal Information may include, for example: device identifiers, IP addresses, and aggregated or de-identified information. If we are required to treat Non-Personal Information as personal information under applicable law, we will use and disclose it for all the purposes for which we use and disclose personal information.
How Do We Protect Your Information?
Although no method of storage is 100% secure, we attempt to use various reasonable security measures to maintain the safety of your personal information and to protect against loss or misuse. We cannot, however, guarantee that your data will be secure.
We may use third-party service providers that provide hosting, data storage and other services. These service providers have informed us that they apply security measures they consider adequate for the protection of information within their systems. We will not be liable, to the fullest extent permitted by law, for any damages that may result from the misuse of any information, including personal information, by third parties.
Do We Use Cookies?
Yes. Cookies are small files that a website or its service provider transfers to your computer's hard drive through your web browser, if you allow it, that enable the site or service provider's systems to recognize your browser and capture and remember certain information.
Session cookies are temporary and remain in the cookie file of your browser until you leave the website; they are generally used to monitor site traffic and are not linked to any personal information. Persistent cookies remain on your hard drive for a longer period and help us remember your preferences on return visits.
You can control your preferences in relation to cookies, including preventing them from being stored on your computer, through your internet browser settings.
Do We Disclose Any Information to Outside Parties?
We do not sell, trade, or otherwise transfer to outside parties your personal information. Access to your data may be provided to trusted third party contractors who assist us in operating our website and conducting our business. We take all reasonable steps to ensure that any third-party contractors are bound contractually to keep your information confidential.
We are not responsible for the information collection, usage, disclosure or other privacy practices of any third party, including but not limited to our contractors, any third-party social media platform, any third party making available the devices or operating systems for which the site is available, or any third party operating any website to which the site contains a link.
Do We Disclose Your Information Overseas?
An inevitable part of a cross-border operation such as ours is that we have clients, contractors, and staffing needs in both Canada and the United States. It is possible that your information will be shared with parties outside of your own country, but only pursuant to the other sections of this Privacy Policy.
Any information held about you may be processed in the country in which it was collected or in other countries. Laws regarding personal information vary from country to country and from state to state, and you should be aware that data laws in other places may be less stringent than the laws in your state or country.
Access to Your Personal Information
If at any time you wish to know what personal information we hold about you, please contact us. We will generally be happy to provide you with the information we hold about you, except where it would have an unreasonable impact on the privacy of another individual, the request is frivolous or vexatious, the information relates to legal proceedings, we are prevented by law from disclosing the information, or providing access would prejudice certain investigations.
